Customer Service / Data Entry Associate

We are a high-performing non-profit organization looking for a seasoned candidate with high quality skills, training and experience necessary to fill a full-time position as customer Service/Data Entry Associate in our Head Start program.

The successful Candidate must be able to perform the following duties and tasks:  

  • Enters data from applications, enrollment forms and other forms into an automated database system; enters social services, health, disabilities, and education information and data; review for accuracy; updates records with assessment scores, health information, and related activities.
  • Prepares and prints reports; edits reports, and applies report writing software to prepare special information in response to staff requests or modifies existing reports; recommends modification of screens and data fields to information services staff.
  • Prepares spreadsheet, word processing and other records; designs report formats; proofs, revises, and prints reports; assists staff with database queries.
  • Answers questions on telephone relating to data and information from the computer.
  • Backs up computer to maintain security and accuracy of database.
  • Prepares application documentation.
  • Establishes and maintains hardcopy files of confidential records for easy retrieval.
  • Orders and maintains supply of paper, printing cartridges, and other supplies for computer and peripherals, copier, and other assigned office equipment; coordinates maintenance of equipment with vendors.
  • Screens calls and inquiries; secures and gives information; answers many inquiries independently.
  • Identifies eligibility requirements and communicates them to customers; acquires information and documents, and coordinates customer schedules, appointments and referrals.
  • Secures information via telephone or personal contact; often handles tasks and interactions independently with no management interaction.
  • Handles sensitive information and maintains confidentiality.
  • Makes arrangements for locations for meetings; notifies participants of date, place, and time; prepares and types materials for the meeting; may attend to assist or to take minutes or notes.
  • Prepares correspondence, memoranda, notes, minutes, reports or other materials; reviews work for compliance with instructions, spelling punctuation and basic grammar; proofreads final copies of materials.
  • Writes and sends letters, memoranda, reports and other materials using past precedents as guides.
  • Supports a variety of departmental tasks and programs, as needed: may cross train in various office roles.
  • Reviews and verifies records and reports for correct information; processes documents based on review and verification; files and retrieves materials based on limited information and performs periodic follow-up activities.
  • Maintains office or departmental records and files; initiates appropriate follow-up or further action based on the status of office activity.
  • Serves as backup to other office and family service functions.
  • Performs related duties as required.

 Requirements:

  • Thorough knowledge of office practices and procedures.
  • Thorough knowledge of and ability to use correct grammar, vocabulary, and spelling.
  • Considerable knowledge of data entry, database maintenance, report generation and record keeping methodologies.
  • Considerable knowledge of office software and applications to the administrative environment.
  • Considerable knowledge of Department program requirements, intake procedures, and regulations.
  • Knowledge of the elements of customer service and skills in applying that knowledge to serve customers.
  • Ability to input data quickly and accurately.
  • Ability to operate office machines required by the position such as computer, word processor, typewriter, copier, fax, calculator, and other office equipment.
  • Ability to gather and compile materials from a variety of sources.
  • Ability to maintain files and records systematically.

Minimum Experience

Graduation from high school and experience in social service program intake, Administrative support or related work; and considerable data entry and database maintenance experience.

Preferred Experience

Fluent in Spanish preferred.

Special Requirements:

  • Possess a valid North Carolina Driver License.
  • Able to pass a physical examination, criminal background investigation, a physical and a TB Tine Test.

Compensation is $10.50-$14.48/hour with excellent benefits. This position is non-exempt—eligible for overtime pay.

Life Works Coach (McDowell County)

Available - immediately:  

  • Energetic Life Coach needed to co-facilitate Nurturing Parenting Program and to assist customers enrolled in Life Works Self Sufficiency Program to identify personal strengths, assets, goals and career interests.  Develop Action Plans in partnership with customer and community to remove obstacles to success.  Coordinate services through a network of community organizations that provide participants with the resources they need to solve the problems they face.  Assist low-income families through a strengths-based approach to case management to become self-sufficient. 

 Requirements:

  • 4-yr. degree in Social Work or related field and at least 2 years of experience required. 
  • Demonstrated ability to provide case management which includes family assessment, intervention, planning, employment development and considerable public contact. 
  • Demonstrated ability to work with community partners
  • Demonstrated ability to work with diverse populations.
  • Keen understanding of the dynamics of poverty.
  • Strong oral and written communication skills.
  • Budget and paper management accuracy required. 
  • Experience with reporting outcomes and ability to use data to inform practice.
  • Must be a team-player and experienced with team-based case management.  
  • Fluent in English and Spanish preferred. 
  • Possess a valid NC driver’s license. 
  • Able to pass drug and background checks.
  • North Carolina Family Development Credential preferred.
  • Certified to facilitate Nurturing Parenting Program preferred.

Salary Range: $31,200.00 to $43,010.00 DOQ.

Children, Family & Community Partnerships Director

We are a high-performing non-profit organization looking for a seasoned, skilled professional to fill a full-time position as the director of our Children, Family & Community Partnerships Department. 

The successful Candidate has the high-quality skills, training and experience necessary to:

  • Use team-based approaches to create, implement, track and report  outcomes of short and long-range strategic anti-poverty federal and state-funded initiatives, goals and programs for preschool-aged children and families who live on low income,
  • Develop and monitor budgets and resources,
  • Meet and exceed federal and state program performance standards and  laws, child care license and other accrediting organizations’ requirements,
  • Monitor and evaluate program results,
  • Support and implement agency policy and procedures,
  • Support a volunteer governing body,
  • Create new and maintain existing community collaborations and relationships to further the Agency’s mission,
  • Respectfully supervise professional, content-expert program managers and executive support staff,  
  • Represent the Agency at industry-related activities,
  • Serve as a collaborative member of the Agency’s Senior Staff and Leadership Teams,
  • Coordinate work with intra-agency departments to ensure program and agency outcomes are comprehensive, integrated and measurable. 

The position requires:

  • Comprehensive knowledge of and demonstrated skill in departmental level federal and state program and grants administration.
  • Comprehensive knowledge of managing multi-million dollar budgets with a variety of funding sources.
  • General knowledge of theories, practices and dimensions of early childhood growth and development, special education and family development.
  • General knowledge of childcare licensing laws.
  • General knowledge of Head Start Program standards and other federal and state grant requirements.
  • High skill level
  • Respectfully, managing, leading and supervising others with diverse opinions and varied backgrounds,
    • integrating computers, technology and Office Suite applications to conduct and support all aspects of departmental and child/family development activities,
    • analyzing problems and developing creative options, implementing and evaluating solutions, and
    • expressing ideas, concepts and plans effectively, orally and in writing.
  • Demonstrated ability to organize and implement new and existing programs directly through line staff and indirectly through community collaborations.
  • Demonstrated ability to establish and maintain effective and respectful working relationships with officials, department heads, staff, community agencies, internal and external customers and the general public.
  • Demonstrated history of behavior that models the philosophy and practices associated with the Agency’s Principles.

Minimum Experience

  • Graduation from a regionally or CHEA accredited four year college or university with a  Masters degree in Public Administration, Public Policy, Public Health or Social Work Administration. 
  • Ten years in a non-profit or local government at a department director or upper-management level, administering grant-funded early childhood or similar programs with three years supervisory experience.

Preferred Experience

  • All of the above plus bi-lingual in Spanish.

Compensation $70,000 - $85,000 DOQ.  This position is exempt under FLSA and ineligible for overtime pay.
